Role Summary

The Director of Event Management is responsible for the end-to-end management of events hosted at the organization’s event space. This role oversees coordination with nonprofit partners, community groups, and internal stakeholders, manages event logistics and scheduling, and ensures consistent execution of event standards. The position also develops and maintains event packages and operational processes to support efficient and high-quality events.

Core Responsibilities

Event Management & Execution

  • Manage all phases of events held at the event space, including intake, planning, execution, and post-event follow-up
  • Serve as the primary point of contact for organizations and groups using the space
  • Oversee on-site event operations, including setup, event flow, and breakdown
  • Ensure events are executed in alignment with organizational standards, policies, and safety requirements

Client & Partner Coordination

  • Coordinate directly with nonprofit organizations, community groups, and other approved users of the space
  • Guide partners through event options, requirements, timelines, and logistics
  • Maintain clear, documented communication with all stakeholders

Event Packages & Offerings

  • Develop, maintain, and update standardized event packages and service options
  • Assist leadership in establishing pricing, inclusions, and operational guidelines
  • Ensure packages are clearly documented and consistently applied

Scheduling & Documentation

  • Manage the event calendar, bookings, and internal scheduling
  • Maintain contracts, agreements, run-of-show documents, and event records
  • Track event details within internal systems (including Workday or other tools as required)

Vendor & Resource Coordination

  • Coordinate approved vendors and internal resources as needed (catering, AV, rentals, décor, etc.)
  • Confirm vendor requirements, timelines, and on-site logistics

Process Improvement & Reporting

  • Identify opportunities to improve event workflows, efficiency, and client experience
  • Collect feedback from partners and internal teams following events
  • Provide basic reporting on event usage, trends, and operational needs

Decision-Making Authority

  • Day-to-day event planning and operational decisions
  • Package selection and logistics guidance within approved frameworks
  • Escalation of budget, policy exceptions, or operational issues to leadership

Qualifications & Experience

  • Experience in event planning, event management, hospitality, or related operations
  • Strong organizational and communication skills
  • Ability to manage multiple events and priorities concurrently
  • Experience working with nonprofits or community organizations preferred

Working Conditions

  • Evening and weekend availability required based on event schedule
  • On-site presence required during events
