What’s the role
As the Executive Coordinator, you will manage projects and activities for the executive staff, board, and committees, organize meetings and conference calls, drive project success, create reports and accountability metrics, and write correspondence and other communications. We will rely on you to have your finger on the pulse of activities, projects, and issues.
You will take projects from start to finish and facilitate our communications processes. Your success is all about managing priorities and creating and maintaining business relationships. In this highly visible role, your excellent communication and collaboration is paramount. You will analyze situations and exercise sound judgment in determining appropriate courses of action.
Reporting into the GM B2B Retail, the role requires self-motivated, dedicated and responsible individual with the ability to perform well under pressure.
Accountabilities:
Support executive staff in achieving their annual goals
Support executive management at board meetings and with board presentations/communications
Coordinate town halls with all staff and manage newsletters and other annual communications to staff
Serve as execution collaborator around the office
Be a liaison across disparate office teams during the development and execution of company-wide initiatives, policies, and processes
Facilitate new business initiatives and strategic projects
Consult to improve operations and workflows for entire departments
Keep company stakeholders informed on key updates and developments
Manage the Facilities & Safety Manager and Receptionist
Oversee facilities and building management
Manage administrative support team
Maintain key external strategic business relationships
Implement office policies and strategize improvements to existing processes
Develop initiatives related to company culture and employee wellness
Plan events and meetings, schedule and manage calendars
Create reports and metrics for reporting for company projects
Other duties as assigned
What you bring
Must have legal authorization to work in the US on a full-time basis for anyone other than current employer
HS School Diploma (required), Associates or Bachelor’s degree (preferred)
10+ years prior business/executive administration support
Demonstrated ability to interact effectively and appropriately with high level professionals, boards, committees, volunteers, and executive staff
Good communication skills, written and oral, for example ensuring sales agents are kept informed of any delays in turning around pricing requests, or outlining the rationale behind a decision not to approve credit for a customer
Analytical mindset, demonstrate ability to problem solve and create practical solutions to overcome problems and mitigate risks.
Comfortable working in a target-driven and fast-changing environment, and able to respond to changing business needs
Excellent attention to detail
Proficient use of Microsoft Office programs including Word, Outlook and strong Excel skills
Excellent analytical, organization and time management skills, with the ability to maintain a strict level of attention to detail
Ability to work well within a team environment and demonstrate a vested interest in team goals and objectives
Excellent interpersonal, verbal and written communication skills, with the ability to establish and maintain positive and effective working relationships
Self-motivated with the desire to consistently improve performance and gain further knowledge
Ability to meet deadlines, learn quickly and demonstrate effective problem solving and follow-up skills
What we offer
The base salary range for this position is $86,000 - $128,000 per year. Individual pay will be based on various factors, such as relevant work experience, education, certifications, skill level, seniority, and internal equity.
For regular full-time or regular part-time employees of the Company (participating companies as listed in the Summary Plan Description), insurance coverage options include medical, dental, vision coverage, life Insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs. Employees also participate in a company pension plan and a 401(k) plan. Paid leave includes up to 6 weeks of paid vacation time, up to 11 paid holidays, and parental leave offering 16 weeks of paid leave for birthing parents, and 8 weeks of paid leave for non-birthing parents.
Additionally, employees are eligible for short-term disability leave for up to 26 weeks at 100% or 50% of base pay as well as Long-Term Disability insurance. Shell also offers other compensation such financial reimbursement for adoption, wellness, education, and personal learning expenses, and some roles are eligible for discretionary long-term incentives. For interns, eligible benefits include medical, dental, and vision coverage, life insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs; participation in a 401(k) plan; and paid leave for up to 11 paid holidays.
