Role:
The Thrift Store Volunteer Assistant provides essential support for the volunteer program. They handle key administrative tasks, manage volunteer records, and oversee the volunteer database. They are the main point of contact for prospective volunteers, providing information, answering questions, ensuring clear communication flow and a positive onboarding experience.

Job Responsibilities:

  • Serve as main point of contact for prospective volunteers at all Thrift Stores

  • Implement the intake process:
  • Conduct screening interviews
  • Match volunteers to assignments
  • Process applications
  • Perform background checks
  • Send approvals
  • Track onboarding
  • Collect and maintain volunteer data and documents
  • Develop proficiency in Better Impact, the centralized system to store and track all information related to volunteers
  • Utilize the features and functionality of Better Impact to ensure smooth onboarding and ongoing engagement
  • Prepare monthly reports including volunteer hours, birthdays, service anniversaries, rosters, and emergency contacts

  • Provide other reports, updates and statistics as requested
  • Archive volunteers who have discontinued volunteering and arrange exit interviews
  • Keep current volunteer policies and procedures and position descriptions
  • Assist in planning and coordinating volunteer appreciation events and activities
  • Administer service anniversary recognition
  • Coordinate group and employer-sponsored volunteer opportunities

Experience Requirements

The Volunteer Services Administrative Assistant must have at least two years of administrative experience. Strong clerical skills and ability to work within spreadsheets. Ability to learn computer programs such as certify, Panda Doc and others.  Hospice and/or volunteer experience preferred.

Education Requirements:

The Volunteer Services Administrative Assistant must have at least a high school diploma.

Compensation Pay Range:

$17.89 - $25.76
