Compensation Range:

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL SUMMARY
With minimal direction and considerable latitude for independent judgment, the PSS will perform complex secretarial and administrative duties in a fast-paced environment in support of our clinical programs. The PSS will be responsible for all clinic preparations, including but not limited to, providers' time and calendar management while optimizing provider patient schedule, coordination of patient care and information/data support. The PSS will schedule follow-up visits and respond to patient phone calls forwarded by clinicians and MyChart appointment requests. The PSS will also enforce practice policies around late and no-show appointments and ensure completion of standardized questionnaires for patients receiving care. The PSS will work closely with all providers in the practice to manage patient needs effectively, including appropriate involvement of crisis services when needed.

The successful candidate will demonstrate excellent time-management and organizational skills, as well as enthusiasm for supporting our mission to deliver high-quality patient care.

ESSENTIAL FUNCTIONS

Optimize, manage, and input clinician master schedules

Serves as primary contact for clinicians for patient coordination involving scheduling issues at clinician direction (e.g., calling and scheduling patients in need of follow-up appointments)

Sends letters to families regarding treatment participation and discharge 

With training and ongoing provider support, respond to patient phone calls and MyChart scheduling requests and triage appropriately when needed to be nurse, crisis line, or treating provider.

Performs quality assurance monitoring for activities completed in area of immediate responsibility (including scheduling errors) as well as other areas that affect it

Performs duties of PSS as required, this may include but not limited to the following:

  • Serves as primary contact for provider(s). Manages provider(s) calendar, prioritizes appointments and meetings based on provider preferences. Chooses and recommends among competing demands.
  • Examines the clinical schedule(s) on a continuous basis to identify opportunities for optimizing the time and effort of providers. 
  • Manages provider(s) documentation and information
  • Serves as a main point of contact for reaching out to families regarding appointment scheduling and/or cancelations
  • Maintains the front-end responsibilities such as checking in/outpatients, scheduling, assisting patients with documentation and consents
  • Serves as a liaison between families and providers when needed

MINIMUM EDUCATION & EXPERIENCE

  • High School Diploma required. Demonstrated customer service skills required.
  • 2 years of relevant experience required or an equivalent combination of education and experience; 1 year of leadership experience Required


KNOWLEDGE, SKILLS AND ABILITIES

  • Medical Terminology and experiences with surgical/appointment scheduling software and electronic medical records preferred.
