The Facilities Coordinator plays a pivotal role in managing and optimizing an organization’s physical environment to ensure a safe, efficient, and well-maintained workplace. Reporting directly to the Facilities Business Manager, the successful candidate will provide proactive oversight of day-to-day maintenance operations, ranging from managing work order tickets in Smartsheet to scheduling specialized HVAC technicians. This role serves as a key liaison between internal staff and external vendors, ensuring all service providers meet quality standards while maintaining strict compliance with OSHA safety regulations. By balancing administrative tracking with hands-on coordination, the Facilities Coordinator ensures the seamless daily functionality of the stores, supporting both employee productivity and overall operational excellence.

Essential Duties                                                                                                                                           

  • Facilities Work Order assignment, tracking and reporting
  • Scheduling internal HVAC Techs for reactive tickets
  • Scheduling HVAC PMs
  • Updating notes in OpenWrench
  • Updating Smartsheet
  • Schedule routine inspections and emergency repairs with outside vendors
  • Address urgent maintenance issues promptly and effectively
  • Monitor on Call phone bi-weekly
  • Assist in finding/setting up new vendors
  • Monitor the facilities inbox as a back up
  • (If on site) Back up to mailing room for Facilities, Construction, Legal, and Real Estate

Requirements

  • High School Diploma
  • Experience with tracking facilities work orders
  • Demonstrated ability to learn new software
  • Organizational skills
  • Positive attitude; patient and flexible
  • Ability to work in a high-pressure atmosphere
  • Ability to prioritize requests on a regular basis and multitask as need be
  • Proficient MS Office skills including but not limited to Outlook, Excel and Word
  • Knowledge of basic building systems and components
  • Excellent verbal and written communication skills, including working with all levels of the organization

Impact: Inaccurate actions may possible result in delays and modifications to projects/operations; which creates expenditure of time, human resources and funds

Liaison: Will be determined based off title which may or may not have contact with higher level organizational associates concerning projects, operations decisions, scheduling requirements or contractual clarification. Based on position, associate may or may not attend briefings/technical meetings for internal or external representatives.
