The Conference Center Supervisor plays a vital role in ensuring the seamless operation of the law firm’s front office. This position is responsible for serving as the first point of contact for clients, visitors, and staff, and embodies the professionalism and discretion required in a legal setting, ensuring that all interactions reflect the firm’s values and standards.

This position is responsible for serving as the first point of contact for clients, visitors, and staff, and embodies the professionalism and discretion required in a legal setting, ensuring that all interactions reflect the firm’s values and standards.   

KEY RESPONSIBILITIES:

  • Responsible for coordinating all Firm-sponsored and client-related events for the Conference Center.  

  • Maintains orderliness, cleanliness, and required supplies in all the Firm's conference rooms.   

  • Collaborates with the Firm's Facilities and Office Services Departments to arrange for room set ups, the Audio/Visual Technical staff regarding video teleconferencing and Flik Floor Attendant for food & beverage needs.  

  • Serves as the on-site contact to outside groups and clients in planning and executing functions at the Firm's conference facilities. 

  • Works with the Conference Center Manager to track expenses generated in connection with each event to ensure accurate and timely payment as applicable.  

  • Reports statistics of attendance and participation by invited guests to selected Firm sponsored events.  

  • Serves as a liaison between the Firm and the Firm's food service provider for catering needs.   

    • Maintains a presence in the business center and serves as contact person to respond to inquiries and unanticipated meeting needs.  

    • Provide backup coverage to Conference Center Manager when out of the office and escalates as appropriate to Director of Facilities & Administrative Operations. 

    • Coordinates with outside vendors as needed to ensure proper forms are filed and load-in and load-out is successfully handled. 

    QUALIFICATIONS:

    • High School diploma or equivalent required. Bachelor's degree preferred.

    • Knowledge and experience with food service operations and best practices

    • Prior supervisory or team-lead experience required.

    • Creative, organized and detail oriented with excellent communications skills.  

    • Ability to handle sensitive information with confidentiality and discretion.  

    • Proficiency with common computer applications, including databases and word processing, is required.  

    • Ability to maintain composure and professionalism while managing multiple projects/events simultaneously. Strong diplomacy skills required, along with knowledge of appropriate business etiquette and social standards.  

    • Undergraduate college degree preferred, high school diploma or equivalent required.  

    • Knowledge and experience of food service operations and best practices. 

    OTHER: 

    Must be flexible during heavy workload periods. Occasional long workdays and flexible lunch hours as necessary. Occasional weekend work required.
