Job Description
Montgomery College, Rockville Campus, has an immediate need for a full-time Transcript Evaluation Program Coordinator for Admission Services. The work schedule is Monday – Friday, 8:30 am – 5:00 pm. This is a non-bargaining, non-exempt, grade 25 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. The incumbent leads the team of transcript evaluators, leveraging resources and staff to accomplish the work, and is also responsible for developing policies and procedures for collegewide transcript and prior learning evaluation for advanced standing.
Contacts include faculty, all levels of staff, current and potential students, registrars, admission officers, and transfer evaluators from other institutions, and investigators seeking student educational records. Other contacts include members of the Maryland Organization of Community College Registrars and Admission Officers.
Duties include, but are not limited to:
- Assist the campus registrar in recruitment/interviewing and recommending the hiring of employees.
- Evaluate the training needs of transcript evaluators and coordinate and/or conduct in-house training.
- Lead for all transcript evaluators and transfer evaluation issues.
- Communicate changes in transfer processes to students, faculty, administrators, state and federal agencies.
- Design and implement processes that will improve the accuracy of transcript evaluation.
- Determine and publish transfer equivalencies for the College and confirm collegewide compliance with servicemember agreements.
- Approve transferability of courses and level of training completed at other colleges and universities based on a review of official transcripts and other documents, domestic and international courses, and level of training completed.
- Develop procedures to verify the accreditation status of the institutions for each incoming transcript.
- Approve course equivalencies and appropriate advanced standing guidelines.
- Maintain expertise and authenticate high school transcripts.
- Respond to inquiries from students, state agencies, federal agencies, and College personnel regarding high school graduation documentation.
- Electronically transfer high school, college, and organizational transcripts to the records system through education credentials software.
- Advise faculty, counselors, and staff regarding the interpretation of procedures and guidelines for advanced standing.
- Advise individual students about matching coursework with specific degree program requirements and how transfer credits may affect the requirements.
- Communicate via telephone, in-person, e-mail, and U.S. mail regarding a myriad of questions, problems, and issues involving transcript evaluation.
- Serve as primary point of contact for all transcripts and prior learning evaluations.
- Other duties as assigned.
Required Qualifications:
- Associate degree.
- Five years of transcript evaluation (including military transcripts) and student information database experience including two years of experience in a college setting.
- The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
- Thorough knowledge of transcript evaluation and academic regulations regarding transfer polices; of general graduation polices; of admissions and records processing procedures.
- Knowledge of modern office procedures and practices as applied to the provision of general office services.
- Skill in operating a computer and using Microsoft Office and student information database software; in verbal and written communications, including interpersonal relations and good customer service techniques.
- Skill in leadership, research, organization, and problem solving.
- Ability to evaluate information regarding course credit from other institutions; to develop and evaluate policies and procedures pertaining to transcripts; to create and maintain data integrity; to design and conduct training; and to interpret applicable laws and regulations.
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.
Hiring Range: $28.79 – $37.42 per hour. Initial salary placement for new hires falls between the minimum and midpoint of the range and is based on relevant candidate experience and internal equity. The maximum salary for this position is $46.04 per hour.
