The RACE Grants Administrator II manages post-award research administration for assigned departments, providing high-level support to Principal Investigators and departmental staff. The position ensures accurate and timely financial and compliance information to facilitate informed decision-making and effective grant management. The Grants Administrator II develops expertise in increasingly complex research portfolios, including grants with multiple sponsors, subawards, and diverse reporting requirements, while maintaining strong relationships with faculty and the Office of Research Administration. Job Description

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Administers assigned grants and subawards in collaboration with the Associate Director, ensuring compliance with sponsor and institutional requirements, monitoring financial activity, and supporting Principal Investigators (PIs) in managing award progress and decision-making.
  • Maintains accurate accounting records, reconciles assigned accounts against the General Ledger, ensures proper payroll distribution for faculty and staff, and assists PIs with budget development, effort reporting, and financial reporting requirements.
  • Serves as a primary liaison between PIs, departmental staff, and ORA/SPAO, addressing financial, compliance, and administrative issues, facilitating communication, and resolving questions related to expenditures and award management.
  • Supports progress report preparation, program reviews, agency requests, and other post-award deliverables, coordinating with Pre-Award or other offices as needed to provide timely and accurate information.
  • Actively participates in professional development, training sessions, and institutional initiatives to maintain current knowledge of research administration policies, procedures, and best practices, and serves as a resource to faculty and staff for compliance and administrative guidance

Education and Experience:


  • Associate’s degree in General Studies, Business, Finance or Healthcare Administration, or related field required.
  • Bachelor’s degree preferred.
  • 1-2 + years experience in research administration-related work.
  • Computer skills in a PC/Windows environment including MS Word, Excel, and PowerPoint, demonstrated by application materials and previous experience.
  • Excellent written communication skills and attention to detail as demonstrated by application materials.
