Position Description:

The individual will be a vital member of the Meetings & Events team and will need to be dynamic, adaptable, energetic, and highly organized. The Coordinator will work closely with the Director of Global Events, events team, and broader marketing / communications team.  This individual will need precise attention to detail and an ability to juggle multiple tasks simultaneously.  They will have responsibility for multiple elements of the event planning process including invitation creation and management, meeting collateral creation, gift items, managing the shipping and packing of supplies, venue sourcing, room reservations, and related tasks. Bain Capital’s array of internal and external meetings and events generally range in size from 10-450 people and may include the following:   Partner Retreats, Investor Conferences, CEO Summits, Training & Development Programs, Business Unit Offsites, Holiday Events and other employee-related events.  Travel (20%) is required.

Responsibilities Include:

  • Create event collateral, including name badges, gift bag labels or tags, or other materials
  • Manage the Bain Capital Events inbox and calendar
  • Manage event invitations and track responses
  • Manage end to end gift process
  • Organize coaching schedules
  • Event office supply management (notebooks, pens, gift bags, etc.)
  • Shipping and receiving event supplies to and from offsite venues
  • Provide onsite registration assistance as needed
  • Process invoices and track event expenses
  • Create PowerPoint slides with venue options
  • Research event venues and coordinate with on site event managers

Qualifications:

  • Excellent verbal and written communication skills
  • Great attention to detail
  • Creative thinking and problem-solving skills
  • Ability to multitask efficiently
  • Ability to execute a high volume of logistics

Education:

A bachelor’s degree in event planning or marketing is preferred.

Compensation:

Expected Annual Base Salary $70,000 - $80,000.  

Actual base salary will be determined by a wide range of factors including but not limited to role, function, level, experience, qualifications and geographic location. In addition to a competitive base salary, this position may be eligible for a discretionary annual bonus based upon factors such as individual impact, team and firm performance.
