Summary of Duties

As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon’s most vulnerable children and families. As an Office Specialist 2 (Generalist), though workloads can change, OS2 duties are usually focused in specific areas – Discovery, CMC, etc. Your duties may include:

Administrative Duties: Utilize customer service skills by answering quick questions for walk-ins, answering incoming calls and transferring calls to appropriate parties.  Along with distributing gas cards, bus passes and tangible items to caseworkers, resource parents and parents at the front desk. Assisting with motor pool functions. Providing notary services as requested. Holding a state credit card for case related purchasing. 

Record Support: Assist with Discovery of documents as required by policy/law including copying and redaction of protected information. Maintains case files for discovery. Maintains a discovery log to track requests through completion. Maintains control records of information received routed, assigned, or dispersed.

Case Management: Requesting records which may include but is not limited to, police reports, out of state histories, court records, physical or mental health records. Entry of medical and school information in OR-Kids

including grades, head start or individual Education Program IEP.

SSA Unit Support. Assisting in setting up schedules of family time and transports for SSA workers. Monitoring the Waitlist of family time for the SSA Unit.

What you need to qualify

Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

An associate degree in any field; OR

An equivalent combination of education and experience.

Valid driver's license

We are looking for candidates with:

  • Experience conducting work that requires attention to detail, particularly when creating or reviewing documents. 

  • Experience working successfully both with a team and independently, while managing your time efficiently. 

  • Experience writing clearly, concisely, and thoroughly with minimal spelling or grammar issues. 

  • The demonstrated experience to work well with people from a wide variety of backgrounds and showcase intercultural competency.

  • Experience using time management, organization, and prioritization skills to meet deadline.

  • Demonstrated ability of strong organizational skills including multi-tasking, able to prioritize work, and close attention to detail.

  • Experience using Microsoft Excel, Word, Outlook, Internet Explorer (or other web browser), and other computer applications.

Working conditions

  • This is in an in-person position. The position may be available for Hybrid schedule after 6 months of in person training, depending on Agency need.

  • There may be prolonged periods of sitting or standing in front of a computer. You will be working in an open office environment with noise from telephones, printers and other staff.

  • The nature of conversations you may overhear may include uncomfortable topics related to child abuse and neglect.

  • The employee must be able to work with frequent interruptions or distractions.

  • Position may require some travel to do purchases with SPOTS card.

  • A valid driver’s license from the state in which they reside is required and must have an acceptable driving record as determined by the Background Check Unit.

  • Occasional compensated overtime during evening or weekend hours may be required.

  • You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.

  • The Oregon Department of Human Services does not offer visa sponsorship.   • Finalists must be cleared by the FBI Criminal Justice Information Services (CJIS) through a fingerprint-based criminal records check.
