Position Summary:
Florida Atlantic University is seeking a WARC Onboarding and Recruitment Services Specialist - Boca Raton, Florida.
This is an on-campus/onsite position.
The Onboarding and Recruitment Services Specialist position plays a vital role in supporting Florida Atlantic University's hiring practices. This position is part of a team that provides high-volume frontline support to hiring managers, employees, and potential candidates by managing appointment extensions and the full recruitment and onboarding cycle. Approval of appointment extensions and the hire-to-onboarding process encompass transactional business processes managed in Workday, including handling calls and multiple email accounts. Ensuring that quality and documentation standards are met while accurately and effectively adhering to established guidelines and procedures.

Ability to work effectively within a team structure and support collective goals.
General:
Evaluate and identify solutions to routine and complex problems as they arise.
Responsible for understanding, executing, and adhering to all relevant laws and regulations impacting the University and Human Resources.
Conduct routine internal audits to uphold compliance with state, federal, and university guidelines and policies. Assist as needed with external audits.
Conduct departmental training, presentations, and provide various support services university-wide as needed.
Assist with Workday Release testing and troubleshoot routine and non-routine issues.
Maintain and upkeep staff manual and checklists.
Liaison with various departments and colleges to remedy issues.
Manage various departmental email accounts and other databases to perform essential functions.
Responsible for meeting project deadlines and for providing timely updates to management and senior staff.
Engage in cross-training to support department priorities.
Performs other job-related duties as assigned.
Recruitment:
Responsible for the successful completion of a full recruitment cycle, including the successful completion of the pre-hire and post-hire phases.
Responsible for processing recruitment requests in Workday and posting job announcements on the company’s career portal.
Assess applicants' skills, abilities, and qualifications for employment.
Guide and coach hiring departments on recruitment guidelines and best practices.
Liaison with various departments and colleges to remedy issues.
Pre-Employment Screenings:
Responsible for determining which pre-employment screenings are required. This may include, but is not limited to, foreign influence screenings, international background check screenings, domestic background check screenings, Level I and Level II background checks, and verification of education records.
Obtain and review documents from applicants and current employees to ensure the successful completion of all pre-employment screenings and requirements.
Conduct pre-adverse and adverse actions as necessary.
New Employee Onboarding:
Responsible for the successful completion of all onboarding requirements.
Complete I-9 verification to establish work eligibility and identity.
Ensure employee file reflects accurate and updated information.
Maintain proper record-keeping of all employee records and secure files according to university guidelines and state requirements.
Employment:
Monitors the visa expiration report and notifies departments/employees as necessary to provide updated work eligibility documents.
Review employment extension requests and process according to the employee type.
Ensures all requirements are met prior to approving any employment extension.

Minimum Qualifications:
