Join our dynamic team supporting the Department’s clinical residency and fellowship programs, including CODA-accredited residencies such as Oral & Maxillofacial Surgery (OMFS), Orofacial Pain, and General Practice Residency. You’ll play a key role in managing the administrative operations for approximately 24 residents and fellows, ensuring smooth coordination across recruitment, credentialing, compliance, and program development.

Job Summary

Key Responsibilities

• Program Administration: Oversee day-to-day operations of multiple residency and fellowship programs, ensuring compliance with CODA, ABOMS, and hospital policies.

• Accreditation & Compliance: Prepare documentation and support readiness for CODA site visits and internal reviews. Track licensing, duty hours, CRICO extensions, and credentialing.

• Recruitment & Onboarding: Coordinate application processes, interviews, and onboarding—including visa processing and credentialing for incoming trainees and visiting rotators.

• Scheduling & Coordination: Manage rotation schedules across partner institutions, set up financial arrangements, and coordinate MGH credentialing for external trainees.

• Program Support & Communication: Maintain program manuals, communicate policy updates, and support quality and safety initiatives. Serve as a key liaison to program directors and administrative teams.

• Evaluation & Reporting: Manage evaluation processes for residents, faculty, and rotations. Complete national and hospital surveys and provide data to external agencies as needed.

• Event & Conference Planning: Organize departmental events (e.g., orientation, holiday parties) and schedule educational conferences such as Grand Rounds and Didactics.

• Process Improvement: Identify opportunities to streamline workflows, enhance cost-effectiveness, and support long-term planning and policy development.


 

Qualifications

What You Bring
•    Strong organizational and communication skills
•    Experience in academic or healthcare administration preferred
•    Ability to manage multiple priorities and work collaboratively
•    Familiarity with residency/fellowship program operations is a plus
•    Comfort working with credentialing, compliance, and accreditation processes

QUALIFICATIONS: 
  • Bachelor’s degree in Business Administration or Healthcare Management required.

  • Minimum of 3 years of experience performing relevant work, preferably in a healthcare and/or education setting.  

  • Familiarity with medical trainee management, including ACGME/CODA policies, preferred.
