The Practice Assistant II position sits at the front desk of the Child and Adolescent Psychiatry clinic and handles the day-to-day operations of the clinic. Without nurses in Outpatient Psychiatry, PA IIs serve as the main liaison between patients and providers, frequently relaying clinical information and directly resolving patient issues per provider instruction. The patient population of the department is high acuity with complex psychiatric disorders. Department PA IIs work as a dynamic team with each other and providers to meet the needs of the patients.
Job Summary
The Practice Assistant serves the scheduling and coordination needs of our patients and providers. They uphold all privacy and safety standards and deliver compassionate and exemplary customer service.
Reception and Patient Check-In and Administrative Assistance: 60%
- Check-in each patient as outlined by MGH Front Desk and Practice Standards
- Displays courteous and timely response to patients- in person, phone, e-mail, and Epic system and triages requests as needed
- Assists patients when needed with reading paperwork, arranging transportation, escorts, etc. and ensures any required scales or forms are completed
- Collects and reconciles co-payments
- Completes all follow up appointment scheduling and rescheduling as requested
- Takes requests for medication refills
- Works closely with call center team and intake team to ensure patients are well cared for
Payer Authorization and Billing 20 %
- Manage work queue for missed authorizations and obtain as necessary, working with managed care/third party insurers
Other 20%
- Monitors and maintains neat, orderly patient waiting area
- Supports 50+ providers including psychiatrists, psychologists, and trainees with clerical needs like letter writing, faxing, etc.
- May be asked to provide support for special projects and research initiatives
- Participates in weekly check in meetings and others as requested
- Manages mail for all providers in the clinic
