Overview

This position is responsible for travel planning, execution, and support for EB personnel travelling internationally for or working in UK-based field offices for the UK CMC Program Office. The individual in this role will provide support to the Common Missile Compartment (CMC) Program Manager and work jointly with the compliance team to ensure proper execution of the CMC authorizations.    

                                                                                  

Responsibilities of this position are expected to include, but are not limited to the following:

 

  • Support CMC program office international travel program
  • Coordinate traveler kick off meetings to review travel forms and processes
  • Manage expatriation and repatriations of EB employees to and from the UK
  • Passport applications and renewals
  • Visa applications
  • Coordinate with EB HR/Tax/Payroll/Benefits and AIReS to ensure proper execution relocation contract
  • Assist in preparing home leave paperwork for approval
  • Assist security with related clearance information transfers
  • Coordinate with CMC Program Office trade compliance personnel to ensure travelers meet training and travel requirements
  • Support planning and execution of US and foreign national VIP visits
  • Assist in preparing IT/laptop/iPhone requests for Expats/ Business Travelers
  • Manage IT assets & requirements for EB personnel in the UK (remote desktops house in Shaw’s Cove)
  • Work with HR to ensure Foreign Work Assignment (FWA) package monetary disbursements are processed on time for EB personnel in the UK
  • Assist the extended work assignment (EWA) personnel for EB personnel in UK as required
  • Assist in maintaining procedures and directives governing personnel at UK sites and home support offices
  • Update CMC Program Office travel web page and forms as needed
  • Aid CMC Program Office Trade Compliance/ITAR personnel as required

  • Concur Expense Report support and assistance
  • Assisting with CITIS, and SWSNET information transfer and profile requests

Qualifications

Required:

 

  • High School Diploma
  • Active security clearance
  • Proficient MS Office skills including:
  • MS Word - editing and updating text, formatting of fonts, header/footers, page numbers, and page layouts.
  • MS Excel - building tables, developing charts, manipulating table/chart formats, and formatting of fonts, header/ footers, page numbers, and page payouts
  • MS PowerPoint - updating slide master format including text boxes and page numbering, formatting of text sizes/ locations/ content, and formatting of tables and charts. Candidate must also be able to extract information from various files into a PowerPoint presentation. The information may be text, charts, tables, or images from Word, Excel, or other PowerPoint files
  • Must be reliable, possess a strong team orientation, be customer focused, high energy, and have a desire to work in a dynamic, fast paced environment 

Preferred:

  • 3 years of experience in a program office or similar
  • Advanced MS Office skills:
    • Preferred skills in Word include developing table of contents and linking footnotes
    • Preferred skills in Excel include developing pivot charts/tables and updating databases
    • Preferred skills in PowerPoint include developing, inserting, and/or updating embedded tables
  • Experience working with Concur Travel systems
  • Experience working in international programs
  • Familiarity with the ITAR and associated compliance requirements
  • Experience working with US Government
  • A strong background and experience dealing with EB technical and administrative departments such as Engineering, Contracts, Finance, Legal, and Accounting
