POSITION SUMMARY:
The Development Associate serves as a member of the high-performing fundraising team for the Atlanta Symphony Orchestra (ASO). This position is primarily responsible for executing ongoing development operations processes, such as gift entry, gift acknowledgment, pledge billing, recognition listings, and other data projects. This role interacts with and must provide a high level of service to the ASO’s most important patrons, including Board members, Advisory Council members, Leadership Donors, and other major donors.
The ideal candidate will have a strong ability to develop and maintain efficient and consistent processes, a keen eye for detail, and a high standard and demonstration of accuracy in their work. They will exhibit a high level of organization and consistency, the capability to handle multiple tasks simultaneously, the ability to be flexible to changing needs and priorities, and strong writing and communication skills.
MAJOR ACTIVITIES:
- Manage the daily gift entry process to record and process contributions in the ASO’s database (Tessitura). Responsibilities include processing transactions and gifts from a variety of sources while maintaining the highest attention to detail and utmost accuracy. Keep an organized and thorough record of all gift documentation within the ASO’s filing system.
- Execute the daily gift acknowledgment process to ensure that donors receive their gift acknowledgment letter within 24-72 hours of receipt of the gift. Responsibilities include pulling donor information from the database (Tessitura), creating and printing letters and envelopes, distributing drafts for review and signature, mailing the letters, and keeping records of acknowledgments sent.
- Administer the monthly pledge billing cycle to ensure that open commitments to the ASO are fulfilled within their planned schedule and that donors receive timely reminders of their pledge fulfillment schedule. Responsibilities include maintaining current data regarding open balances on pledges, hosting a monthly review meeting with department leadership, creating reminder letters, distributing drafts for review and signature, mailing the letters, and keeping records of documents sent.
- Serve as the team’s primary project manager for all donor recognition listing projects, including the monthly concert program book, the donor panels on the walls in Symphony Hall, and other programs and publications as needed. Responsibilities include pulling donor information from the database (Tessitura), tracking and reporting listing changes, gathering information from team members, thoroughly reviewing drafts, and collaborating with the ASO’s marketing department.
- Maintain clean and accurate patron accounts in the ASO’s databases (Tessitura and Ticketmaster Archtics)
- Create a monthly batch of thank you letters for the Executive Director to send to major donors. Create batches of thank you notes for the Vice President of Development to send to Board members and other major donors.
- Complete other data projects and reports as needed, such as giving summaries, pledge forms, etc.
- Other duties as assigned.
POSITION REQUIREMENTS:
- Bachelor’s degree or equivalent experience
- Prior experience working in a development office is preferred
- Exceptional attention to detail and a commitment to accuracy
- High level of organization, consistency, and thoroughness
- Proficiency in Microsoft Excel; familiarity with other Microsoft Office products
- Prior experience with Tessitura or equivalent CRM is preferred
- Commitment to exemplary customer service
- Flexibility to changing needs and priorities; independently prioritize tasks and manage time
