Overview
The primary responsibility of the Central Reservations Administrative Assistant is to provide administrative support to the Director and Senior Director of Central Reservations (CRes) to ensure efficient and optimal operation of the CRes office. This position will also provide support to other roles/functions within CRes.
This position is a remote role and will be performed from the employee’s home office in an approved work state. It is the responsibility of the applicant to ensure they have a professional, distraction-free work environment that supports productivity and confidentiality. This includes reliable high-speed internet, a secure and ergonomically appropriate workspace, and access to necessary technology to perform job duties effectively.
Responsibilities
- Provide first level administrative support to the Director and Senior Director of CRes.
- Provide additional administrative support to other members of Central Reservations Management.
- Coordinate and manage all daily agent activities in real-time from the CRes Help Desk.
- Respond to guests/other Xanterra employees on behalf of the Director/Senior Director via phone or email.
- At the request of the Director/Senior Director provide first level contact and convey resolutions to both guest and agent issues in a timely manner. Report escalated issues if unable to resolve.
- Ensure proper recording and documentation of meeting minutes, expense reports, purchase orders, etc.
- Assist in coordinating other special projects as required or assigned by the Director/Senior Director of CRes.
- See problems through to resolution in a timely manner.
- Recommend procedure modifications and/or improvements.
- Preserve and grow your knowledge of help desk procedures, property and tour information.
- Manage time, prioritize tasks and assignments to ensure they are completed within the designated timeframe.
- Represent CRes and Xanterra Travel Collection in a professional manner at all times.
- Provide input towards long term planning and development.
- Complete additional administrative tasks as needed.
- Requires flexibility in work schedule and days off to meet operational needs and contact center hours of operation.
- Troubleshoot basic issues related to all CRes Programs, including Ring Central, Opera, AI tools, & WFM.
- Proactively keep up to date with all software/program enhancements.
- Other duties as assigned by the Director/Senior Director.

Qualifications
KNOWLEDGE, SKILLS & ABILITIES:
- Strong written and verbal communication skills
- Very detail oriented with great organizational ability
- Strong problem solving and reasoning skills
- Ability to manage multiple tasks simultaneously and adjust based upon priorities
- Must be a team player that can take direction and/or work independently as required, in addition to supporting policies, procedures and team members
- Previous Customer Service experience
- Proficient in Opera reservations system
EDUCATION & EXPERIENCE:
- A High School diploma is required
- Customer Service experience in the hospitality or travel industry
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS:
- This position is performed in an office type environment
- This position requires extreme flexibility including, being available to work on the 1st and 5th of every month, as well as weekends and closing shifts

PAY RANGE: $42,600 – $43,700 based on experience + monthly incentives
