Job Description:

RaganSmith, a Pape-Dawson company, is seeking a full-time Receptionist based in our Nashville office. This position is responsible for maintaining and implementing office processes and systems. The Receptionist is the first face of RaganSmith’s Nashville office and should be organized, task oriented, and a problem solver.

Responsibilities

• Filter and direct phone communication for Nashville office staff

• Manage office supplies, materials, and kitchen inventory

• Coordinate meeting logistics, including organizing catering and conference rooms

• Greet and direct in-person visitors

• Oversee mailing and accounts from USPS, FedEx, and UPS

• Coordinate with facility management vendors

• Schedule meetings as needed

• Coordinate client COIs

• Maintain office key cards and offices codes for all in-person employees

• Ensure office common areas and conference rooms stay presentable

• Additional related duties as needed

Qualifications

• 5-10+ years of experience in office administration and management

• Proficient with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint

• High attention to detail

• Excellent written and verbal communication skills

• Ability to maintain confidentiality

• Strong ability to organize multiple tasks and priorities
