We are looking for an organized and proactive People & Culture Specialist to support our European HR operations with a strong focus on change management, communication, and capability building across the organization. This role works closely with the People Operations Manager and Senior Manager P&C to support the rollout of new People & Culture initiatives, coordinate timely and effective communications, and help enable internal stakeholders and Field Staff through clear guidance and training-related support. The People & Culture Specialist plays a key role in maintaining accurate data in Workday, responding to employee inquiries, and ensuring that core P&C processes are well documented, consistently applied, and continuously improved. The role also contributes to Health & Safety compliance for seasonal Field Staff, including tracking required certifications and supporting related process improvements.
Key Responsibilities:
HR Projects & Change Management: Work closely with People Operations Manager & Senior Manager P&C to ensure that new P&C initiatives are being rolled out at opportune times, are appropriately staffed, and that Europe P&C team members (in Utrecht & Pernes) are in the loop on any new processes including: Workday updates and enhancements, updates to other Backroads internal systems, legal changes, AI updates, etc.
Learning & Development: Together with the People Operations Manager & Senior Manager P&C, act as liaison for consolidating information between Leader Development and P&C. Collaborate to develop relevant and timely communications for P&C team members, Field Staff, and other key stakeholders.
Process Documentation: Ensure that repetitive HR processes are well-documented and efficient for training and onboarding further P&C team members.
Jira Management: Respond to employees' inquiries promptly with empathy & clarity. Gather FAQs and propose changes to handbooks, contracts, and outward communications for Field Staff based on FAQs.
Health & Safety: Implement & expand upon processes to ensure the necessary Health & Safety items for Field Staff including, scheduling Medical Checks and ensuring any necessary coursework is completed. Act as a partner for external Health & Safety vendors.
Contract Management & Payroll Registrations: Assist in the preparation of employment contracts and payroll registrations for a few European countries, with a high attention to detail and timeliness.
Documentation and Compliance: Secure A-1 forms and other required documents for European field staff. Facilitate the preparation of secondment papers for Euro Field Staff. Ensure the completion of mandatory Field Staff safety and security training.
Termination & Deactivation: Together with the P&C team, perform employee deactivations at the end of season, ensuring proper documentation and compliance. Ensure that process is documented and identify opportunities for efficiency.
Leaves of absences & workplace injuries: Handle sensitive and ongoing leaves of absence or prolonged injury cases in certain countries.
Qualifications:
2-5 years’ experience in Change Management, Project Management, HR Administration, Learning & Development, or a similar role.
Ability to synthesize complex information and explain to a wide range of audience, from ET stakeholders to incoming Field Staff.
Excellent communication skills and the ability to work collaboratively with teams across different regions.
Demonstrate initiative and derive genuine satisfaction from supporting Backroads employees and internal stakeholders, and making sure key people are involved and aware of changes and decisions.
Proficiency in HR systems and an interest in understanding the mechanics behind processes. Workday and Jira experience are a plus, although not required.
Strong attention to detail and ability to handle sensitive information.
Organizational skills to manage multiple tasks and meet deadlines.
Strong command of spoken and written English is required; additional languages, particularly Dutch, are highly valued but not required.
