The Admissions Specialist serves as an essential member of the Law School and University teams, with direct reporting responsibility to the Director of Law Admissions. The individual will work as part of a team to recruit a highly select and diverse student class annually and will play an integral role in all aspects of the Law School's admissions process, including recruitment and operational support.
This position supports and participates in the admissions team to promote Richmond Law and provide advising services to prospects, applicants, and pre-law communities.
JOB DUTIES/RESPONSIBILITIES:
Review, verify, and assess applications and support documents in accordance with established guidelines to follow-up on missing or deficient information; relays and discusses status of application; reviews applications and transcripts with respect to current eligibility of applicants, applications, transcripts, records and evaluations; initiates, codes, reviews and processes applications.Evaluates and resolves conflict with applicant document issues.Develops resolutions for student application concerns. Assigns applicant files to Admissions Team for review when complete. Maintains confidential and sensitive student information.
Office Management & Recruitment Support
Manage and coordinate data processing systems between Banner (University System of Record) and Admissions Systems (Unite and Slate); performs analyses, identifies problems and solutions, makes recommendations, and evaluates the results regarding the development, enhancement, and maintenance of the database management system and administrative functions; coordinates system audits to ensure data integrity and accuracy.
Composes written documentation and correspondence for the office; screens and evaluates incoming and outgoing correspondence and responds as appropriate. Manages and communicates with high level individuals and alumni promoting prospective students’ applications.
Develops and recommends operating policy and procedural improvements to the Associate Dean by assisting in problem solving, project planning and development and execution of stated goals and objectives.
Responsible for managing all hospitality and facility aspects of special events while making vendor decisions to stay within a budget.
Student Management
Direct supervision of student employees, including hiring, training, payroll, and teaching office procedures as necessary
Collaboratively support the supervision of law ambassadors to ensure smooth communication and delivery of excellent customer service during campus visit experiences for visiting students
Travel Planning and Budgeting
Designs, registers, and supervises a heavy recruiting schedule by executing complex travel arrangements, shipping, and other necessary details for the Associate Dean for Admissions, other staff members, and other individuals (e.g., alumni, faculty, students) who recruit for the law school.
Oversee all Admissions department budgets and expenses. Approve and process admitted student travel stipends. Reconciles and approves all check requests and travel reimbursements for all members of the office. Participates in overall goal setting, reporting and in budget preparation with the Associate Dean.Makes recommendations on spending based on past data.Manages, posts, and reconciles all applicant deposit fees while communicating with applicants if problems arise. Coordinates and facilitates the online payment functions in coordination with the Bursar’s and other offices.
CONTACTS:
External constituents - Applicants, Current Students, Parents, Alumnae, Pre-Law Advisors, Pre-Law Organisations, other Law School Admissions Offices, Undergraduate institutions and Outside Vendors.
Law School faculty, administration, and current students – work with faculty to generate support for programs they oversee; coordinate with Law School Career Services, Student Services and External Relations to optimise the connection with prospective students in recruiting, hiring, and student support.
University departments – ongoing contact with offices of, Undergraduate Admissions and Enrollment Management, Registrar’s Office, Financial Aid, IT, ESCRMS, and Accounts Payable.
SUPERVISION EXERCISED:
Direct supervision of student employees including hiring, training, coordination and allocation of work and payroll.
QUALIFICATIONS:
Attention to detail and strong organizational skills needed to accomplish several ongoing assignments simultaneously. Must be able to work well under pressure, meet established deadlines and exercise tact when dealing with challenging situations. Work regularly with information requiring the utmost discretion. A high degree of personal integrity is essential. Excellent judgment required.
Remarkable written, verbal, analytical, and presentation skills required. Strong interpersonal skills with the ability to work collaboratively in a team setting required. Ability and willingness to work with varied constituencies including students, faculty, administrative colleagues, and staff required. Positive attitude, flexibility and customer-service orientation required. Solid verbal and presentation skills.
Strong problem-solving skills. Advanced organizational, time management and process management skills. Demonstrated computer experience in word processing, Outlook, PowerPoint, Excel spreadsheets and databases preferably in Microsoft Office Suite. Ability to work independently.
Position requires occasional irregular hours, demanding a willingness to work a flexible schedule and commit to evenings and weekends for special events and/or emergencies. Must be able to handle objects up to 20 pounds occasionally and/or up to 10 pounds frequently.
Education & Experience:
Required: Bachelor’s degree in a related field from an accredited institution. A minimum of two years of higher education, law, or relevant professional experience required; customer-service related preferred.
WORK HOURS: 38.75 hours per week. Monday through Friday, 8:30 am to 5 pm; Some travel may be required for assistance with recruiting events.
SALARY STRUCTURE:
Pay Grade 5 (Hiring Range $18.79 to $24.90 per hour)
