GENERAL PURPOSE OF JOB:
Provide administrative/coordinator support for the Department of Medical
Education.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Maintains utmost level of confidentiality at all times.
Adheres to hospital policies and procedures.
Demonstrates business practices and personal actions that are ethical and adheres to
corporate compliance and integrity guidelines.
Performs daily office functions - phones, e-mail, typing, transcribing, photocopying, filing,
faxing, sorting and distribution of mail.
Acts as liaison to initiate and facilitate the process of obtaining faculty appointments for
members of the Driscoll medical staff (UTRGV, Texas A&M Health Science Center, UNTHSC,
and UTMB).
Responsible for all Residency Program and Medical Education contracts, including Affiliation
Agreements and Program Letters of Agreement required for resident outside electives.
Responsible for coordinating Resident Orientation and Recruitment Season, and assisting with
the coordination of Resident Graduation, Resident Retreats, the Annual Resident Research
Program/Dinner, and other residency events
Updates and distributes the Resident Handbook yearly
Responsible for preparing and/or assisting with the preparation of the Residency Program and
Medical Education department budgets.
Designated ACGME contact. Responsible for keeping information up to date and reporting
requirements. Responsible for Site visit preparation
Designated ABP contact. Responsible for keeping information up to date and reporting
requirements.

Designated contact for ERAS, NRMP, Thalamus, AMBOSS, New Innovations and other
residency programs and software.
Must assist with New Innovations management and ensure resident information is kept up to
date.
Responsible for Visa management for current and incoming residents
Coordinates with TAMU for meetings or needs from the College of Medicine.
Responds to requests for residency verification of former residents.
Responsible for Resident onboarding and management. This includes Hospital onboarding,
TMB PIT permit, and other onboarding needs.
Management of yearly Program Evaluation Committee meeting and report.
Yearly In Training Exam Management
The Medical Education Coordinator will serve as the Institutional Administrator for the
Driscoll health System. This may include duties for additional programs within the Health
System.
General administrative support for Medical Education and the Residency Program. Should
have good skills in Microsoft Office and the ability to learn new technology to meet the needs
of the program.
Will act as office manager for Medical Education Office staff. This includes paycard approval,
task oversite valuations and other tasks as designated.

EDUCATION AND/OR EXPERIENCE:
Bachlor’s Degree required, Masters Degree preferred; six months to one year related
experience and/or training preferred; or equivalent combination of education and experience.
