Job SummaryThe primary functions of the ED Associate are to welcome patients as they enter the ED, determine the nature of the visit, advise them of next steps, and obtain all demographic and insurance information. This position must ensure accurate and timely medical record completion in accordance with Joint Commission standards, Department of Health (DOH) rules and regulations, and medical staff bylaws. This position requires frequent contact with patients, medical staff, third party payers and community agencies.
Essential Functions- Greets patients/families entering the ED, screens the nature of the visit and obtains and enters complete and accurate patient demographic information of home and employment. Generates a system number. Brings the patient back to the Emergency Dept.
- Obtains and enters correct insurance information.
- Verifies eligibility using eligibility software.
- Enters all other data as required by the registration department for proper reporting and documentation at the time of registration, to include Joint Commission and DOH standards.
- Makes proper identification of patient, affixes patient identification band on patients’ wrist.
- Copies/scans all insurance and Identification cards.
- Ensures each patient receives “Your Rights as a Hospital Patient”, in accordance with Hospital policy.
- Follows established procedures for wheelchair usage.
- Alerts Security personnel of potentially disruptive visitors and situations.
- Provides caring, empathetic attention to all individuals with a non-judgmental attitude.
- Accepts payment and issues receipts for all guests wishing to make payment during all hours of registration.
- Ensures accurate account numbers are listed with every payment accepted.
- Inspects all checks and credit card payments for accuracy and completeness and proper endorsement.
- Accurately labels receipt envelopes, completes cash form (if applicable) and submits to the cashier or department safety unit, at the end of the registration process.
- Ensures safe keeping of all cash, checks and credit card payments received.
- Receives hospital co-pay or directs patient to financial counseling, if applicable.
- Compiles and completes census information in a timely and accurate manner.
- Updates current patient disposition (referring to patients leaving to HOME status from the ED) and/or discharges patients according to current policy and procedures.
- Completes emergency department audit reports per policy as needed.
- Accepts admissions from authorized personnel .
- Monitors the bed tracking system for appropriate admission on a daily basis.
- As necessary, contacts the Nursing Supervisor and/or designee of the patient care unit to establish appropriate bed and timely reservation for all patients.
- Initiates and completes Death Certificates, Autopsy, Organ Donor Instructions and Funeral Director Notifications as needed
- Initiates the correct paperwork, following the notification of an expiration.
- Interviews the family with compassion, in a dignified manner, expressing sympathy.
- Obtains necessary signatures/and payments when an autopsy is requested, in accordance to the DOH and Department of Vital Statistics rules and regulations.
- Communicates with Medical Examiner, Regional Transplant and Forensic Specialist for appropriate paperwork completion.
- Maintains strict confidentiality of every patient, medical record and report.
- Discusses only appropriate patient information in public and private areas protecting the confidentiality and dignity of all patients, by actions and words.
- Releases only appropriate patient information over the telephone providing for balance between guest services and confidentiality of all patients.
- Maintains and respects employee confidentiality.
- Disposes of paperwork, reports in accordance to hospital policy.
- Performs other related duties as requested and assigned.
Qualifications- High School or equivalent Required
- 1-3 years medical office experience with frequent customer interaction Required
- Previous patient registration or patient accounting experience preferred. Preferred
- Ability to read, write, and communicate in English required.
- Ability to also communicate in Spanish a plus.
- Basic computer skills required.
- Must complete Non-Violent Crisis Intervention training on a bi-annual basis.
