THE OPPORTUNITY

This position provides front-desk and reception support for Cruickshank Alumni Hall and serves as a first point of contact for Alumni Engagement & Annual Giving. Responsibilities include greeting visitors, maintaining shared spaces, monitoring and routing requests from the Alumni Relations email account, checking and forwarding voicemail messages, and assisting AEAG staff with administrative projects such as online store fulfillment and inventory, Salesforce data entry, and event/package assembly.

WHAT YOU WILL DO

Reception and Front Desk Support for Cruickshank Alumni Hall

  • Greet staff and visitors.
  • Ensure that the front desk reception area, conference room, and team meeting table are always presentable.

Monitor the Alumni Relations Email Account and assist with responding or directing incoming requests to the correct contact person/department related to the following:

  • Email access and password reset requests  
  • Babson In A Box requests
  • Alumni Directory and Job Board requests and inquiries
  • Alumni Stories
  • Transcript requests
  • Junk email
  • OneCard Requests
  • IT – Quarantine Notifications

Voicemail Messages

  • Check voicemail and respond to calls or forward messages as appropriate to Advancement Staff.

Projects to be assigned by AEAG Administrator and AEAG Staff as needed, including:

  • Assisting with the completion of fulfillment from the Alumni Online Store.
  • Inventory tracking of stock for the Alumni Online Store.
  • Data entry into the Salesforce database to include alumni contact information or volunteer and event coding.
  • Assembling Babson In A Box and gift bags/giveaway packages for various Alumni Events.

Assume additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED

  • Comfortable answering incoming phone calls to the Alumni Relations land line.
  • Proficiency in Microsoft Word and Excel software products.

HOW AND WHERE YOU WILL WORK

Primarily on-site at Cruickshank Alumni Hall at the front desk/reception area, with some tasks completed at a workstation within the Alumni Engagement & Annual Giving office as needed.

ADDITIONAL SKILLS YOU MAY HAVE

Graphic Design experience isn’t required but would be helpful.
