About the role:

The Group Reservations Coordinator is an essential member of the Commercial Department, responsible for managing the full lifecycle of group room reservations from turnover through departure. The Group Reservations Coordinator oversees Delphi setup and maintenance, including room blocks, rate codes, cut-offs, and special requests. This role also prepares a variety of reports and maintains multiple group-related systems to ensure accurate and up-to-date information. Additionally, the Group Reservations Coordinator will serve as a liaison between Sales, Conference Services, Reservations, Front Desk, and Revenue Management to support group bookings, VIP communication, and inventory decisions. The team embodies all Four Seasons cultural values while maintaining established standards, with professionalism expected at all times. This role reports to the Commercial Director. 

What you will do:

  • Operations Support: Providing clear communication with managers while supporting daily operations by ensuring accurate rate setup, deposit requirements, and cancellation policies

  • Coordination: Providing administrative support by managing group reports, rooming lists, and confirmation details, and coordinating details with operational teams to ensure a seamless guest experience

  • Reservations: Answering incoming reservation calls (queue and non-queue) and support booking and pre-arrival needs for individual and group reservations

  • Technology: Responding to chats and emails through our unique computer systems

  • Communication/Teamwork: Collaborating with team members to ensure guests are always taken care of

What you bring:

  • Ability to work in a fast-paced environment while maintaining strong attention to detail.

  • Strong time management, communication, and organizational skills.

  • Fluency in reading, writing, and spoken English is required.

  • One year of prior reservations or call center experience preferred

  • Experience with Delphi, Lotus Notes, and Microsoft Office is a plus

Schedule & Hours: 

  • This is a full-time position

  • The working hours will primarily be Monday through Friday, 8:30am-5:00pm
