The Kids Ministry Operations Specialist is a detail-oriented, proactive team member who provides essential administrative, organizational, and logistical support to the Kids Ministry department across all campuses. This role helps turn ministry vision into practical execution by managing systems, communication, scheduling, volunteer coordination, and event logistics. The ideal candidate is highly organized, tech-savvy, and passionate about creating smooth processes that empower leaders, volunteers, and families to thrive in ministry.
- Hours: Full-Time / 40 hours per week

- Reports to the Kids Center of Excellence Leader
- 2+ years of administrative, coordination, or ministry support experience (church or nonprofit experience preferred)
- Proficient in digital tools such as Google Workspace, Planning Center, and project management software
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Detail-oriented, proactive, and flexible in a fast-paced, team-oriented environment

Responsibilites
- Coordinates the day-to-day administrative operations of Kids Ministry, including scheduling meetings, maintaining calendars, and organizing departmental communication
- Supports the Lead Kids Pastor and campus teams with planning, reports, and weekend assets (curriculum, Bible Reading Plans, etc.)
- Assists with budget tracking, purchasing, and expense reconciliation
- Maintains accurate records for attendance, volunteer rosters for the Portland Campus, and curriculum distribution
- Creates and maintains systems for tracking goals, projects, and ministry metrics
- Coordinates onboarding, scheduling, and communication for Kids Ministry volunteers
- Maintains up-to-date databases for background checks, training completion, and contact information
- Assists in developing and distributing training materials and resources for staff and volunteers
- Helps ensure that all ministry environments meet safety and excellence standards
- Supports volunteer teams each Sunday by ensuring each area is properly staffed and have what they need for a successful Sunday
- Supports the planning and execution of Sunday services, midweek programs, family events, camps, and special projects
- Coordinates registration systems, communication, and logistics for large-scale events
- Collaborates with campus teams to ensure supplies, equipment, and environment are prepared and consistent
- Partners with other departments (Facilities, Communication, Worship, etc.) to ensure smooth collaboration
- Serves as a point of contact for Kids Ministry inquiries, ensuring clear and timely communication with staff, volunteers, and families
- Helps maintain ministry communication platforms (email lists, forms, newsletters, databases, etc.)
- Assists with the preparation and proofreading of ministry materials, digital content, and parent communication
- Supports the implementation and upkeep of ministry systems and processes across multiple campuses
