Job Description
Job Title: Assistant Manager - Mail Services
Job Summary
The duties of the Assistant Manager in Mail Services include assisting and assuming responsibility in the absence of the Manager in the processing of all University mail, protection of the university’s non-profit status, and in the operations of the USPS Contract Postal Unit, and MTC mail center. This position assists in all the daily operations of Mail Services and is directly responsible for all the university’s outbound express and ground shipments and is an intermediary agent for freight shipping originating at Print and Mail Services. The Assistant Manager is responsible for accurate aggregation, final quality control, and accurate shipping or pickup of all products produced by Print and Mail Services.
What you'll do in this role:
1. Lead Outbound Shipping Operations
- Direct all outbound shipping functions, ensuring accurate addressing, processing, and protective packaging for domestic and international shipments.
- Oversee the final stages of quality control for all outgoing products from Print and Mail Services, including expediting, aggregation, and preparation.
- Manage customer-facing shipping services at the walk-in counter.
- Partner with PMPC IT to implement and maintain shipping-related online platforms and software systems.
- Ensure compliance with carrier-specific requirements, federal regulations, International Air Transport Association (IATA) standards, and university policies.
- Provide oversight for the shipment of hazardous materials from University Chemical Stores and international book exchange packages from HBLL Interlibrary Loan.
- Maintain comprehensive knowledge of carrier rates, regulations, and service offerings.
- Communicate shipping procedures and requirements to university departments and personnel.
- Oversee the procurement, pricing, and inventory of shipping supplies for internal use and retail.
2. Support Mail Services Operations
- Serve as acting Mail Services Manager in their absence, overseeing all campus mail centers, including UPB, BYU Store, and MTC.
- Safeguard and manage the purchase of all university postage, ensuring proper accountability of counter cash drawers.
- Lead recruitment, training, and supervision of part-time and student employees.
- Supervise front desk, customer service, and office operations to ensure efficiency and professionalism.
- Maintain packaging, shrink-wrapping, and shipping system equipment for optimal performance.
- Manage supply procurement for departmental operations.
- Demonstrate comprehensive knowledge of, and the ability to execute, all Manager-level responsibilities to ensure continuity of leadership.
- Provide leadership and oversight of high-volume production mail operations, ensuring accuracy, efficiency, and compliance with university, state, and federal requirements.
- Direct scheduling, workflow, and quality control for production mail, coordinating with campus departments to meet critical deadlines and service standards.
- Provide oversight and operational support for the MTC Mail Room, ensuring accuracy, efficiency, and compliance with university and regulatory requirements.
- Support and guide Cougar Creations Mail Operations, maintaining service quality, workflow efficiency, and alignment with departmental standards.
3. Ensure Excellence in Customer Relations
- Foster strong customer relationships by resolving billing, shipping, and service concerns in a timely and professional manner.
- Address and resolve escalated questions and issues from both customers and colleagues.
- Investigate and resolve missing or delayed shipments, oversee claim processes, and arrange reimbursement for lost or damaged items.
What qualifies you for this role:
Minimum education/experience required:
- A firm commitment to the mission of BYU
- Bachelor’s degree and five years of direct shipping or mailing experience, or an equivalent combination of education and experience.
Preferred:
- Bachelor’s degree and ten years of direct shipping and fulfillment experience.
A physical exam will be conducted as a part of the hiring process for this position.
Physical Effort:
Moderate – Physical effort represented by frequent handling of medium weight objects (approx. 20-50 lbs.) and materials, or use of medium weight hand tools. May require climbing and working from ladders or in awkward positions.
Environment:
Periodic exposure to unfavorable conditions because of unavoidable need to be in variable temperatures or wet environments, etc.

Climbing ladders to retrieve books (5 minutes, 3-5 times daily)
Noise from print and mail machines (1-4 hours, daily)
Shipping Dry Ice and other toxic substances (15 minutes, 1-3 times per week)
Dock Door Open/Close (10-60 minutes, 10-15 times daily)
Breathe Dust and printing fumes (30 min - 8 hours, daily)

Pay Grade: 50
Typical Starting Pay: $51,000.00 to $66,500.00 (Depending on Experience)
