About the role:

The HR Operations Specialist at PES India is a critical cog in the HR function, responsible for executing and continuously improving the operational processes that keep the employee lifecycle running seamlessly – from Day 1 to exit. This role ensures that the foundations of HR are rock-solid; accurate data, timely payroll inputs, compliant documentation, and a benefits experience that employees can count on.

We are looking for a detail-obsessed, process-driven, and employee-centric HR Ops Specialist to own the operational heartbeat of the HR team at PES India. This is a high-accountability role that works closely with the HRBP, the ER Manager, Payroll, and external vendors to deliver a seamless, consistent experiences for our 700+ employees.

 

What you will do at PES India:

Employee Lifecycle Management

  • Own end-to-end operational execution across the employee lifecycle – onboarding, confirmations, transfers, role changes, and exits

  • Coordinate weekly induction logistics and ensure every new joiner has a seamless Day 1 experience – system access, documentation, and orientation all buttoned up before they arrive

  • Manage the offboarding process – exit documentation, clearance coordination, full and final settlement inputs, and real-time HRIS updates

  • Prepare and issue all HR letters – offer, confirmation, transfer, promotion, and exit – with accuracy and turnaround speed

 

HR Documentation & Compliance

  • Maintain accurate, audit-ready employee records across both physical and digital systems

  • Ensure compliance with company HR policies and applicable statutory requirements, flag gaps proactively

  • Support internal and external HR audits with well-organised documentation and trackers

  • Coordinate background verification (BGV) with vendors and ensure timely, accurate completion for all new joiners

 

Payroll & Attendance Support

  • Compile and validate monthly payroll inputs – attendance, leaves, shift data, and arrears, and variable pay – and share them with the payroll processing team on time, every time

  • Track leave balances, attendance records, and shift schedules, resolve discrepancies before they become payroll errors

  • Coordinate with the Payroll team and the vendor to ensure smooth monthly cycles

 

Benefits Administration

  • Manage the end-to-end medical insurance process – enrolments, additions, deletions, claim coordination, and annual renewal support

  • Administer other employee benefits including shift allowances, weekend allowances, and any other applicable benefits programmes

  • Serve as the first point of contact for employee benefit queries, resolve or escalate with speed and clarity

  • Manage vendor relationships for benefits – coordinate performance, track SLAs, and flag issues proactively

 

HRIS & Data Management

  • Ensure all employee data in HRIS is accurate, up-to-date, and aligned with organisational standards at all times

  • Prepare standard HR reports, MIS dashboards, and data extracts for the HR team and leadership – on time and in the right format

  • Identify opportunities to improve data quality and reporting processes, drive small but meaningful improvements in how we use our systems

  • Maintain strict adherence to data privacy, confidentiality, and information security requirements

 

Employee Query Management

  • Respond to employee queries on HR policies, processes, benefits, and documentation – promptly, accurately, and with a helpful tone

  • Maintain a query log to track recurring themes and surface them to HRBP for refresher sessions and policy-level interventions

  • Support HR initiatives, engagement activities, and culture programmes with operational and logistical coordination

 

What we are looking for:

Must-have

  • 4-5 years of experience in HR Operations or an HR Generalist role with strong ops exposure

  • Hands-on experience managing employee lifecycle processes end-to-end – not just supporting, but owning

  • Proficiency in HRIS platforms, prior experience with Workday or a similar tool strongly preferred

  • Strong MS Office skills – especially Excel (pivot tables, VLOOKUP, data validation) and PowerPoint

  • Experience coordinating payroll inputs and benefits administration

  • High attention to detail – someone who finds errors before anyone else does

  • Good communication skills in English, both written and verbal

 

Good to have

  • Experience working in a GCC, shared services, or fast-paced multinational environment

  • Exposure to a ticketing/query management system

  • Familiarity with data visualisation tools (Tableau, Power BI, or similar)

  • Basic understanding of Indian statutory compliance requirements (PF, ESI, Gratuity, Shops & Establishment)

 

Education

  • MBA/PGDM in HR (preferred)

  • Bachelor’s degree with strong relevant experience will also be considered
