Job Description

The Financial Aid Systems & Technology Specialist III provides advanced technical leadership for financial aid systems and related enterprise platforms, including document management and workflow systems such as Laserfische. This role architects and oversees system configurations, integrations, and enhancements; develops efficient, automated processes; and ensures reliable data exchange between financial aid systems, the Student Information System (SIS), and downstream reporting tools. The specialist produces detailed technical documentation, dashboards, and analytical reports for leadership, monitors system performance, and proactively identifies opportunities to improve accuracy, throughput, and compliance.

Responsibilities:

  • Serves as the primary technical liaison between the Financial Aid Office, Information Technology, vendors, and external partners, translating functional requirements into technical specifications and system solutions.

  • Leads configuration, integration, and ongoing optimization of financial aid systems and related technologies to ensure scalability, security, and compliance with federal and state regulations.

  • Develops and supports automation strategies (e.g., workflow rules, batch processing, data validations, exception handling) to reduce manual effort, processing errors, and turnaround time in Automic and/or Laserfische.

  • Reviews system outputs, logs, queries, and exception reports to diagnose issues, perform root‑cause analysis, and implement corrective actions and long‑term solutions.

  • Maintains technical documentation, data flow diagrams, and system process maps to support business continuity, training, and audit readiness.

  • Provides advanced technical training and guidance to financial aid staff and system users, ensuring consistent system use, adherence to procedures, and understanding of system impacts.

  • Produces technical reports and dashboards for leadership, including processing metrics, system performance indicators, compliance summaries, and audit support materials.

Required Education and Experience:

  • Bachelor’s degree or higher in related field.

  • Two (2) years of related experience.

Preferred Education and Experience:

  • Bachelor’s degree in information systems, finance, business administration, or a related field, or an equivalent combination of education and progressive technical experience.

  • Minimum of five (5) years of experience supporting financial aid systems, higher education administrative systems, or comparable enterprise application environments.

Knowledge, Skills and Abilities:

  • Advanced knowledge of financial aid systems, document management/workflow platforms (e.g., Laserfische), and SIS integrations.

  • Strong proficiency with data analysis, reporting tools, and spreadsheet applications; ability to interpret large data sets and system outputs.

  • Demonstrated ability to design efficient, automated processes and improve operational throughput.

  • Excellent technical documentation, analytical, interpersonal, and organizational skills.

  • Ability to communicate complex technical concepts clearly to non‑technical stakeholders.

Work Environment: This position operates in a professional office or hybrid setting and may require extended hours during peak processing periods or system implementations.

Projected Work Length: This position will be contracted for 30 hours a week for three months. Consideration will be made at that time to see if other EM projects are needed.
