Wasserman Live is searching for a creative, organized, and experienced Project Manager to join our team of event professionals in delivering best in class experiences for our regional grocery store client. The Project Manager is responsible for planning, managing, and executing experiential activations with the brand team and client.
The successful candidate thoroughly understands each project to take it from concept to fruition and provide recommendations, solutions, and feedback to all parties. This role also ensures projects are delivered on time, on budget, and of a quality expected by Wasserman Live and client.
This position will require up to 25%-50% domestic travel annually.
What You’ll Do:
Oversee and manage client activations from concept creation to onsite execution
Serve as liaison between internal and external stakeholders to determine technical, operational, and logistical needs based on client requests
Conceptualize and manage all artwork design and production
Determine staffing needs for upcoming events and create detailed schedules, timelines, and event plans for client, team members, contractors, vendors, and other necessary parties
Actively participate and contribute during client meetings to determine detailed timelines for members, vendors, and clients
Conduct venue and vendor research to identify and procure appropriate resources, including site visits
Create presentations and proposals for events
Prepare activation materials and partner with the Experiential and Logistics and Operations teams to prep for transportation
Work cross collaboratively with internal teams on event needs to ensure successful execution, i.e.:
Creative team to design event renderings and signage needs
Fabrication team to design props or other event items
Technical team to provide the necessary tech support or items (audio, video, lighting) for each event need
Operations team to assist with loading, unloading and on-site event build support
Business Development team as needed to brainstorm or provide assistance in presentation decks
Work with selected contractors to manage on-site logistics and event operation, if needed
Work as a team to manage asset inventory (track assets and report any issues with repairs, shortages, etc.), client storage contents, oversee shipping and receiving of client premiums and other items, and collect items from client’s corporate headquarters
Operate and lead a team in a high pressure, time sensitive environment
Conduct post-event evaluations and recaps to showcase event success and ROI
Provide support for other team members’ events as needed
Onsite event management:
Provide direction and delegate to onsite staff to ensure successful execution of event activation
Assist with the setup and tear down of event activations as needed
Manage the staff that will be loading and unloading to ensure safe loading procedures
Other duties as assigned
What We’re Looking For:
Bachelor’s Degree or equivalent experience
2+ years relevant event management or production experience
Ability to remain calm under pressure, work on multiple projects simultaneously and achieve deadlines
Must thrive in a fast-paced environment and possess a ‘can-do’ attitude continuously
Demonstrate solution-oriented mentality
General knowledge of Audio, Video, Lighting production equipment and ability to understand and communicate basic technical production with internal team and clients
Ability to successfully supervise and lead a production crew of up to 10 people and delegate work based on client needs and staff members strengths
Skilled in communications, critical and creative thinking, and relationship management with clients, vendors, project managers, internal staff, etc.
Strong organizational skills and deep understanding of project management concepts for planning, monitoring, and executing
Effective budgeting skills and ability to negotiate contracts and make cost conscious decisions
Knowledge and experience in Microsoft Office Suite, Google Workspace; experience in Workday and Canva a plus
Capable of taking initiative and being highly adaptable and agile in a fast-paced environment while maintaining a positive attitude
Ability to lift up to 40 lbs
An eye for décor and design preferred
