Job Summary: The Community Based Referral and Invoice Specialist maintains a continuum of professional and administrative responsibilities related to assessment of referrals, intake coordination, invoicing, and compliance throughout the course of the interventions and services provided for every child and family served in our Community-Based Program. This includes direct oversight of electronic and paper records, as well as processes and systems established to maintain the organization’s full compliance with regulatory standards of care.

Responsibilities

  • Attends mandatory staff meeting and other meetings as assigned.
  • Availability in the evenings and weekends may be required to receive and process incoming referrals.
  • Manages and completes the DCS or Probation referral and intake process, including referral assessment, provider matching, transition and service coordination, requesting and gathering pertinent information and documentation from referral sources.
  • Acts as a direct liaison with referral sources and service providers; develops and maintains positive and professional collaboration and partnerships.
  • Continuously evaluates and tracks current and upcoming provider availability based on each provider’s case load capacity.
  • Ensures weekly invoices are properly submitted.
  • Works in conjunction with the accounting team to address or correct denials
  • Completes required tasks to ensure assigned department meets quality improvement, evaluation and reporting requirements.
  • Collaborates with and supports team members in caseload assignments, scheduling service coverage, managing all visitation notes, and discharge coordination.
  • Manages data in the EHR system
  • Seeks the best use of materials, equipment and staff to maximize efficiency and effectiveness.
  • Acts as a good steward of Damar and/or client finances.
  • Ensures that the agency meets its quality improvement, evaluation and reporting requirements.
  • Shows initiative by identifying solutions to work towards improving stakeholder satisfaction.
  • Prioritizes duties in a manner consistent with organizational objectives and growth.
  • Takes pride and ownership in Damar’s facilities and assigned work areas.
  • Conducts regular file audits to ensure alignment of billable hours, progress notes, invoices and other relevant reporting documentation.
  • Tracks and maintains caseload data such as training requirements, billing, stipend, PQI information and other required documents.
  • Actively participating in and/or overseeing data collection and the use of data to improve outcomes, practices and service delivery.
  • Maintains documentation that is accurate and legible.
  • Completes and updates mandatory training and other licensure related items in a timely manner.
  • Will adhere to all policies and procedures as defined in the Employee Handbook and Damar Operational Policies and Procedures Manual.
  • Ensures updated and thorough documentation is completed for each assigned independent contractor and client. Documentation is expected to be accurate and legible.
  • Respecting the culture, diversity and rights of all clients, their families and the community.
  • Ensures that all activities, services and programs through Damar are conducted in a manner that is sensitive to and shows respect for the cultural and ethnic diversity for all Damar clients.

Qualifications

Education: High School Diploma or GED required

 

Experience: Previous data entry and child welfare experience preferred

 

Equipment Familiarity: Proficiency with MS Office application including: Word, Excel, Outlook and PowerPoint.

 

Certifications, Licenses or Special Training:

  • Minimum age of 18 per licensure requirements.
  • Ability to pass and maintain CPR Certification. 
  • Must meet and maintain background screening requirements for all Damar Programs as detailed in policy 1.HR.02 Pre-Employment and Employee Background Checks.
  • Valid Indiana driver’s license and driving record that meets eligibility requirements of Damar’s insurance carrier (for all positions requiring driving).
  • Successful completion of pre-employment physical required.
