Overview

The Administrative Assistant will be responsible for supporting D962 Crane & Garage programs with general filing, record keeping, and equipment tracking. These records include, but are not limited to: Preventative Maintenance Forms, Test Procedures, and Repair Maintenance or Modification Reports. This position will also be responsible for oversight of the data entry into the group’s CMMS software to ensure that we are tracking, trending, and maintaining cranes and garage equipment as outlined in our departmental procedures. In addition, there will be filing of completed records. 

 

Responsibilities of this role include:

  • Accurately review and process a high volume of maintenance data records for the crane and garage groups in support of key maintenance events
  • Support various administrative tasks within MS Word, Excel, Power-Point and Adobe
  • Attention to detail is essential due to the processing and the heavy volume of multiple documents
  • Interfaces with various levels of management
  • Cross-Training of office functions will be expected to ensure full coverage of responsibilities
  • Organization, storage, and maintenance of hard copy and electronic certification records files

Skills

  • Strong typing/data entry skills needed
  • Intermediate skills within Microsoft Office Suite
  • Must be able to lift a minimum of 25 lbs
  • Demonstrated ability to perform in a role that required a high level of trust and integrity
  • Advanced computer skills that are transferable to this position 
  • Familiarity with Electric Boat Writing Guide 
  • Candidate must demonstrate strong organizational, communication and interpersonal skills
  • Accuracy of work needs to meet high standards and will be audited daily

Qualifications

Required:

  • High School diploma or GED
  • 2+ years of office administrative/clerical experience 
  • Based on the ship’s schedule, must be willing and able to work an alternate schedule including weekends as required to support business need

Preferred:

  • Bachelor’s Degree
  • Experience with EB’s electronic systems (Electronic Desktop, 7G, MRPII, CPJ, MQS, JCALS, Plateau, MS Office Suite)
  • Experience with CMMS programs
