Job Purpose:

  • To provide administrative support to AMS Operations Warehouse and the facilities coordinator

Essential Job Duties:

  • Follow up on incoming facility issues for Haarlem and Amsterdam offices 
  • Follow up and communicate on maintenance work for Haarlem and Amsterdam offices such as repair work performed on the buildings, maintenance contracts, and work planning of the technical department.  
  • Greet and process all Smith visitors ensuring that all on-site visitors and contractors are signed in and out as needed.
  • Coordinate the parking places and cards.  
  • Answer phone calls and connect them to the appropriate Smith personnel.
  • Help organize employee events and arrange office activities, such as teambuilding events.
  • Ensure tidy shared working environments, including the reception area, break room, conference room, etc.
  • Assist with data entry and administrative tasks, as needed.
  • Receive and organize office supply, food, and beverage orders.
  • Organize sorting and delivery of mail.
  • Provide ad hoc support to the management team.
  • Support Sales, HR, Recruitment, and Marketing activities as needed.

Job Qualifications

Experience:

  • 1-2 years of prior experience with facilities.  
  • Strong English communication skills.  
  • Excellent administrative, organizational, communication, and PC skills  
  • Proactive 
  • Trustworthy 
  • Service oriented.  
  • Teamwork.  

Education:  

  • College degree or equivalent job experience preferred.
